Manual questionnaires vs Trustfill

Copy-paste from last year’s Excel file is free until it isn’t. Here’s an honest comparison of manual reuse versus drafting from an evidence vault.

Most teams don’t lack answers — they lack a system to find the right answer, prove it, and reuse it across buyer formats. Manual reuse and Trustfill both start from “we’ve answered this before.” They diverge on citations, speed under deal pressure, and how visible gaps are.

Side-by-side

DimensionManual reuseTrustfill
Primary workflowFind last year’s sheet → copy cells → tweak wording → hope evidence still existsUpload questionnaire → draft from vault → cite or mark UNVERIFIED → approve → export
CitationsRare; tribal knowledge in comments or SlackEach draft points at vault evidence; gaps flagged
Time per mid-size questionnaireOften 1–3 eng/security days of interrupt-driven workMinutes to draft; human review focused on edits and gaps
Deal pressure failure modeBlank cells become unverified “yes”UNVERIFIED stays visible until someone adds evidence or edits
Sales processN/A (internal pain)Self-serve signup — no sales call required
Best fitOne-off forms with unique legal language and no repeat buyersRecurring SIG / CAIQ / Excel questionnaires with a real evidence set

When manual still wins

  • You get one unique legal questionnaire a year and the GC must rewrite every clause.
  • Your evidence isn’t written down yet — automation can’t retrieve what doesn’t exist.
  • The buyer requires a live walkthrough of controls (Trustfill deliberately doesn’t join calls).

When Trustfill is the better default

  • You answer SIG Lite, CAIQ, or Excel packs monthly as deals move.
  • Security/eng time is the bottleneck, not “we have no policies.”
  • You want drafts that cite vault docs and refuse to invent missing controls.
  • You prefer self-serve tooling over another GRC platform sales cycle.

Rough economics

Manual cost is mostly people: a senior engineer or security lead at fully loaded cost can burn thousands of dollars of interrupt time on a single mid-size sheet — before follow-up questions. Trustfill Starter is $249/mo (or $2,490/yr) for recurring questionnaire volume; Growth is $599/mo for higher throughput. Trial includes one questionnaire so you can measure your own draft-vs-manual delta on a real buyer form.

Neither path “guarantees compliance.” Manual and automated drafts both require a human who will stand behind the export. Trustfill just makes the draft faster and the evidence trail harder to lose.
